Job Description

As a Customer Care Specialist, you will be the first point of contact for our clients, providing exceptional support and guidance in a respectful and professional manner. This role offers a unique opportunity to make a meaningful impact by helping individuals navigate their behavioral health journey with confidence and ease.

Key Objectives

The Customer Care Specialist will ensure timely, accurate, and empathetic responses to client inquiries, fostering trust and satisfaction. You will collaborate closely with clinical and administrative teams to streamline communication and support services, contributing to the overall success of Mayo Behavioral Health.

Responsibilities

  • Respond promptly and professionally to incoming client calls, emails, and messages.
  • Assist clients with appointment scheduling, rescheduling, and cancellations.
  • Provide clear information about services, policies, and procedures.
  • Document client interactions accurately in our system to maintain up-to-date records.
  • Collaborate with clinical staff to address client needs and resolve issues efficiently.
  • Identify opportunities to improve client experience and communicate feedback to management.
  • Maintain confidentiality and adhere to HIPAA guidelines at all times.
  • Support administrative tasks as needed to enhance operational workflow.

Qualifications

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Minimum of 2 years experience in customer service, preferably in healthcare or behavioral health settings.
  • Strong interpersonal and communication skills, both verbal and written.
  • Ability to handle sensitive situations with empathy and professionalism.
  • Proficiency with customer management software and Microsoft Office Suite.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Knowledge of HIPAA and confidentiality standards is a plus.
