Job Title: Event Manager

Role Overview:

The Event Manager will be responsible for planning, organizing, and coordinating all types of events at our multifunctional complex, which includes a hotel and convention center, sports and recreation center, health spa, fashion boutique, and various dining establishments. This includes corporate events, conferences, weddings, and other social gatherings. This position requires a versatile and creative individual capable of managing diverse events that highlight our commitment to luxury, wellness, and local culture.The role demands a dynamic individual who can liaise with clients, understand their needs, and deliver events that align with our brand image of a 5-star hotel.

Key Responsibilities:

• Event Planning and Execution:
  • Consult with clients to understand their event needs and objectives.
  • Design event concepts that align with the client's vision and the hotel's standards.
  • Coordinate all event logistics, including space allocation, catering, decoration, audio-visual equipment, and entertainment.
  • Manage event timelines and ensure all milestones are met.
• Collaboration and Coordination:
  • Work closely with different facility managers to create seamless event experiences.
  • Coordinate with local artisans and artists for events that promote arts, crafts, and cuisine.
• Client Relationship Management:
  • Engage with clients to understand their vision and customize events to exceed their expectations.
  • Build and maintain relationships with clients for recurring business.
• Vendor and Staff Management:
  • Select and manage relationships with vendors for catering, decoration, equipment, etc.
  • Coordinate with internal teams (catering, housekeeping, security) to ensure smooth event execution.
  • Train and supervise event staff to provide exceptional service.
• Financial Management:
  • Prepare and adhere to event budgets, optimizing costs while maintaining high standards.
  • Monitor event profitability and provide reports to management.
  • Negotiate contracts with clients and vendors to maximize profitability.
• Customer Service:
  • Provide exemplary customer service to clients and guests.
  • Address and resolve any issues or complaints that arise during events.
• Marketing and Branding:
  • Collaborate with the marketing team to promote the hotel's event capabilities.
  • Develop marketing materials that highlight our unique offerings, such as cuisine tourism and local cultural experiences
• Compliance and Best Practices:
  • Ensure all events comply with legal, health, and safety obligations.
  • Stay abreast of industry trends and incorporate best practices into event management.

Qualifications:

• Bachelor’s degree in Hospitality Management, Event Management, or related field.
• Proven experience of at least 5 years in event planning and management.
• Strong organizational and multitasking skills.
• Excellent communication and negotiation abilities.
• Ability to manage stress and make decisions under pressure.
• Creative mindset with attention to detail.

Additional Skills:

• Familiarity with arts, culture and crafts for thematic event decoration.
• Knowledge of the latest trends in hospitality and event management.
• Proficiency in digital event management tools and software.

Working Conditions: This role requires flexibility in working hours, including weekends and evenings, to oversee events.
